Your store’s first day in Professor.

Use this sequence once payment and access activation have been confirmed. Customer checkout is not enabled yet; this guide explains the intended setup workflow in the updated candidate.

Each purchase covers its authorized store. Use the sign-in address and account supplied for your store. Do not use another store’s account or the owner’s preview credentials.

1. Sign in and name your store

Open your provided sign-in address. Enter your assigned username and password. In Store setup, enter the store name, location and local time zone, then save. Confirm the header shows the saved name. The Store Director controls profile changes.

2. Add employees and assign access

Use Staff for individual entries, or Office imports for an employee CSV. Keep a stable employee code for repeat imports. A staff record does not create an account or grant permissions: the director must separately authorize the appropriate access. Give a temporary password privately when creating a manager login.

3. Bring in existing records

In Office imports, choose a record type and download its blank CSV template. Prepare employees, products, dated counts, orders, receiving and daily sales as separate imports. Preview the file, resolve errors and conflicts, then confirm. Use batches of up to 2,000 rows. Verify the saved result before importing the next batch.

Dated counts remain snapshots; they do not certify current stock. Importing a count does not create an expiration date or an inventory movement.

4. Build the schedule

Set availability, preferences, qualifications and approved time off in Crews & availability. Open Team & shifts to add or edit shifts. Use templates for repeated hours. Schedule suggestions are drafts: review people, dates, overnight hours and coverage before saving. Confirm the saved shifts in the daily calendar.

5. Assign the work

Open Assigned work, choose an employee or crew, enter the task and instructions, and save. Record a voice attachment if your device supports it. A crew assignment routes to its designated lead. Employees open My work to view assignments, acknowledge messages and follow completion steps.

Routine notifications wait for scheduled shifts. This release does not use a punch clock. SMS requires separate provider setup and delivery verification; queued notifications are not evidence of a delivered text.

6. Record floor work and receiving differences

Use Stocking log to record load or aisle progress, remaining cases and exceptions. Use Inventory for dated lots and rotation follow-up. In Order planning, compare imported orders and receipts, check case-pack units, resolve shortages and assign follow-up. Review every draft before use; automatic supplier-order submission is not enabled.

7. Review duties and prepare the handoff

Set store rules and duty templates to reflect your store’s approved process. Staff complete assigned checks; authorized reviewers verify or return them according to store rules. Record equipment concerns for the designated manager. Save a factual Shift handoff covering unfinished work, shortages and the next actions.

8. Use the audit log and optional assistance

The director can filter, open and export audit events. To correct a record, choose Add correction, describe the correction and select its type. If AI is configured, use Ask Professor to draft wording, review the returned text, then click Save correction. The correction links to the original event; it does not rewrite it.

Talk-to-type needs browser/device support and microphone permission. Keyboard entry remains available. POS, AI and SMS controls must show their actual connection status; the operator must configure and test external services first.

Before your team relies on it

For another store, obtain its separate purchase and named authorization. Cross-store chat requires both directors’ approval.
